RALPH keeps everyone your operation flies with on one list, from students and members to instructors and staff, whether or not they ever log in. Each person's record holds their roles, the sign-offs that let them fly and the dates those run to, their training and their bookings. Every booking is checked against the same record, so a lapsed sign-off is caught before the flight, not after.
How it works
- Bring everyone on board. Add people one at a time, import a list, or tell Ralph: “Add Priya Shah as an instructor.” Nobody has to log in to be on the list.
- Record what lets them fly. Give each person their roles and sign-offs, each with who granted it and when it runs to.
- Every booking checks it. When someone books, RALPH checks their record against your rules, and Ralph chases a renewal before it lapses.

Questions, answered
- Does everyone need a login?
- No. A member who only ever books by phone, or a student whose instructor books for them, can be on RALPH without an account. Anyone can be invited to log in later, and their record comes with them.
- What's a sign-off?
- Your operation's authorisation for someone to fly a kind or type of aircraft, such as a club checkout on the R44. RALPH records who granted it and when it runs to, and your rules check it on every booking.
- What happens when a sign-off expires?
- It stops counting on the date it runs to, and your rules decide what a booking needing it gets, whether a note, a hold for approval or a refusal. Ralph reminds the person, and whoever renews it, before it lapses.
- Can one person have more than one role?
- Yes. An instructor who is also a member, or staff who also fly, hold each role at once, and what they can do follows from all of them.
